As our center continues to grow, we are looking for a motivated and highly organized Medical Secretary / Medical Administrative Coordinator to become an integral part of our team.
Position Overview
The Medical Secretary serves as the first point of contact for patients and plays a pivotal role in ensuring the smooth daily operation of the medical center. This position requires exceptional organizational skills, professionalism, discretion, and a strong commitment to patient service.
You will be responsible for coordinating administrative processes, facilitating communication between patients and healthcare professionals, and contributing to an outstanding patient experience.
Key Responsibilities
Patient Reception & Communication
- Welcome and assist patients with professionalism, empathy, and discretion.
- Serve as the primary contact for patients, families, referring physicians, and healthcare institutions.
- Manage incoming telephone calls, emails, and online appointment requests.
- Provide accurate information regarding consultations, examinations, procedures, and administrative requirements.
- Ensure a positive patient experience throughout every interaction.
Appointment & Schedule Management
- Coordinate and manage physicians’ consultation schedules.
- Organize appointments, follow-up visits, diagnostic examinations, and multidisciplinary consultations.
- Optimize scheduling efficiency while ensuring patient satisfaction.
- Manage appointment confirmations, reminders, cancellations, and rescheduling.
Medical Administration
- Create, maintain, and update electronic medical records (EMR/EHR).
- Ensure accuracy and completeness of patient documentation.
- Process medical reports, referral letters, prescriptions, certificates, and correspondence.
- Coordinate the transfer of medical information between healthcare providers.
- Prepare administrative documentation for consultations and procedures.
Coordination of Care
- Facilitate communication between physicians, specialists, hospitals, laboratories, and other healthcare providers.
- Coordinate referrals and follow-up care.
- Assist in organizing multidisciplinary patient pathways.
- Support continuity of care by ensuring timely administrative follow-up.
Billing & Administrative Support
- Assist with invoicing, reimbursements, and insurance-related administrative procedures.
- Verify patient demographic and insurance information.
- Support financial and operational administrative processes.
- Ensure compliance with healthcare regulations and internal procedures.
Compliance & Confidentiality
- Handle sensitive patient information with the highest level of confidentiality.
- Ensure compliance with GDPR and applicable healthcare privacy regulations.
- Adhere to quality standards and administrative protocols.
Operational Support
- Contribute to the efficient daily functioning of the medical center.
- Support physicians and healthcare professionals with administrative tasks.
- Participate in process improvement initiatives and quality enhancement projects.
- Assist with office management and coordination activities when needed.
Candidate Profile
Education
- Diploma in Medical Secretariat, Healthcare Administration, Office Management, Executive Assistance, Health Sciences Administration, or equivalent experience.
Experience
- Previous experience in a medical practice, clinic, hospital, or healthcare environment is highly desirable.
- Familiarity with medical terminology and healthcare administration is considered an asset.
- Experience working with electronic medical records and scheduling systems is preferred.
Technical Skills
- Excellent command of Microsoft Office Suite (Word, Outlook, Excel, Teams).
- Proficiency with healthcare information systems and electronic medical records.
- Strong administrative and organizational capabilities.
- Ability to manage multiple priorities in a fast-paced environment.
- High level of accuracy and attention to detail.
Language Skills
Given our international and multilingual patient population, candidates should possess:
- Excellent spoken and written Dutch.
- Excellent spoken and written French.
- Good command of English.
- Additional languages are considered an asset.
